A-200 · For home services

Every call you miss is a job someone else gets.

Luxarca answers the calls your office can’t reach, follows up on every estimate, and brings last year’s customers back this season. Your techs keep the diagnosis and the price.

A-201 · Where it leaks

Six places a shop loses jobs.

None of these take new software to find. They show up in the call log, the estimate list and the customer file. The Schematic measures each one before we build anything.

  1. 01 Front desk

The phone rings while everyone’s on a job.

The office is on another line, the crew is under a sink, or it’s seven at night. A homeowner with water on the floor doesn’t leave a voicemail. They call the next company.

Measured: Calls missed, by hour and day

  2. 02 Front desk

Estimates go out and nobody follows up.

The quote is sent and the homeowner is comparing three. Nobody calls back to answer their questions, so the decision gets made without you.

Measured: Leads that went cold, and when

  3. 03 Front desk

Happy customers are never asked for a review.

The job went well and the customer would say so. Nobody asks while the truck is still in the driveway, so your profile shows less than the work deserves.

Measured: Reviews by rate and recency

  4. 04 Front desk

Last year’s customers hear nothing until they need someone.

The furnace you serviced, the water heater you put in. Nobody reminds them the next service is due, so when it is, they search and find someone else.

Measured: Customers you haven’t heard from in 12 months

  5. 05 Back office

    Dispatch runs through one person.

Who goes where, in what order, with which parts — decided on a whiteboard or in the dispatcher’s head. When they’re off, the whole day runs slower.

Measured: How jobs get assigned today, and who decides

  6. 06 Back office

The senior estimator’s prices live in their head.

Which jobs run long, what the supplier charges this month, when to send a second tech. When the estimator is on a roof, nobody else can quote.

Measured: Quotes only one person can price

A-202 · How it moves

How a job moves through a shop.

A-203 · What we build

Four systems, installed in order.

You start with Respond. Each system runs on the one below it. Respond, Retain and Resell are priced from a rate card; Route is scoped after the Schematic. The back office has its own plate below.

RESPOND · INTAKE AGENT

Respond · Rate card

  • The job qualified: what, where, how urgent
  • Estimate or service call booked into your calendar
  • Urgent calls passed straight to whoever is on call
Your customer
The call is answered, even at seven at night, and they leave with a time for the estimate.

A-204 · Back office · Reimagine

Quotes, job costing, parts and invoices, built around how your shop already works.

The first four systems work at your front door and along the path a job takes. Reimagine is the workspace behind them: your office and your techs working alongside agents on the work nobody has written down. These are the systems we build there. None starts until the Schematic says it should.

REIMAGINE · STRUCTURE
Loose tools and one person holding them together, then the same work in one structure.
  1. 01

    Estimating desk

The senior estimator’s pricing written down: materials, labour, the jobs that always run long. Anyone in the office can draft a quote; the estimator approves it.

  2. 02

    Job costing

What each job actually cost against what it was quoted, by job type and by tech.

  3. 03

    Suppliers and parts

Orders placed, prices checked, back-orders chased before a missing part holds up a job. Subcontractors tracked on the same record.

  4. 04

    Warranty and callbacks

Every callback logged against the original job, warranty checked, the return visit booked. The pattern is reported, so the same fault stops coming back.

  5. 05

    Job notes to invoice

The tech’s notes, photos and parts become the invoice and the job record. Nobody retypes at the end of the day.

  6. 06

    The shop manual

How your company does each kind of job, from the people who know it, searchable from a phone on site.

A-205 · Human in the loop

A person steps in when it’s needed, not by default.

The calls, the booking and the chasing run start to finish without anyone in the office touching them. A person is brought in when the job needs one: an emergency, a price, a customer who asks for someone. Not by default. Your techs keep every decision about the work.

AI handles

The work that repeats.

  • Answering. Every call, after hours and mid-job respond
  • Qualifying. What’s wrong, where, how urgent respond
  • Booking. Estimates and service calls, into your calendar respond
  • Chasing. Every open estimate, on a schedule retain
  • Asking. Review requests after each job, replies on Google retain
  • Reminding. Tune-ups, inspections, service due resell
  • Routing. The right tech by skill, location, schedule route

Brought to your people

The work that needs a tradesperson.

  • The diagnosis. What’s actually wrong, on site
  • The price. Every quote, every change order
  • The 2am call. The agent flags an emergency; the on-call tech decides
  • Warranty and callbacks. Whether it’s covered, what you’ll do
  • An upset customer. A person calls them back
  • The crew. Hiring, training, who goes where when it matters

The agent books the estimate. It never prices the job.

A-207 · Questions

What owners ask first.

Does this replace my office staff?

No. It answers the calls they can’t get to — after hours, on weekends, while they’re on another line. Nobody hires a second CSR to answer a phone that’s already ringing.

Will customers know they’re speaking to an AI?

Yes. The agent says so at the start of every call. A caller who would rather speak to a person is passed to your office, or booked for a callback when you’re closed.

What about emergencies?

The agent asks what’s wrong and how bad it is. If it matches your emergency rules, it passes the call straight to whoever is on call. Your tech decides whether to roll a truck.

Does it give prices over the phone?

No. It books the estimate or the service call. Pricing stays with you.

How long until it’s live?

Respond, Retain and Resell: [timeline to confirm]. Route and Reimagine: [timeline to confirm], set in the scope.

Do I need new software?

No. We connect to what you run.

What happens to my phone number?

Nothing. It’s your number. Calls forward to us when nobody picks up, and you can switch the forwarding off yourself.

What if it gets something wrong?

Every call is recorded and transcribed, and you can listen to any of them. We’ll show you the recording.

Where is our customer information held, and who can see it?

Everything the systems handle is recorded: the calls, their transcripts, the details callers give, and every message sent in your name. It is held in the systems we run for you, not on your office computer. Your team and ours can see it. We don’t sell it or use it for anything else.

Any of it is exported to you when you ask: recordings, transcripts, your customer list, and the rules the system follows. If you leave, you get all of it, you switch the forwarding off yourself, and we support the handover for 30 days. That is a term in the contract, not a promise on a call.

Reimagine is held separately, in a workspace set up for your business.

What does it cost?

Respond, Retain and Resell are priced from a rate card. Route and Reimagine are scoped after the Schematic. You have a number before you commit to anything.

What is the Schematic?

Before we build anything, we measure what you’re losing: calls missed by hour and day, estimates that went cold, customers you haven’t heard from in a year, and your reviews. You get the numbers, and what Respond would recover.

A-208 · The Schematic
